TERMS & CONDITIONS FOR FERNWOOD PROPERTIES
Fernwood Farm (Treehouse Dome, Studio, Stilt House)
A non-refundable booking deposit of 20% of the total amount is debited from your card at the point of booking. No invoice or email of confirmation can be dispatched to you until the booking deposit has been received. Full payment of your stay will be requested from your card, no later than four weeks prior to the rental commencement date
Roundstone Quay Booking and Payment
A booking deposit payment of 30% of the total rental cost of the property is debited from your card at the point of booking. No invoice or email of confirmation can be dispatched to you until the booking deposit has been received.
Full payment of your stay will be requested from your card, no later than eight weeks prior to the rental commencement date. Upon receipt of the balance due, clients will receive arrival instructions.
Late payments may result in the booking being cancelled without advance client notification.
Change to your Booking:
You are entitled to change your booking dates ONCE at Fernwood up to 28 days prior to your arrival subject to the following:
1. Your newly requested dates must fall within 3 months after the arrival date of your initial booking.
2. Following a change to your booking, your right to a subsequent refund under our cancellation terms is no longer applicable.
Date changes are not possible within the 28 day window. We strongly advise that clients take out travel insurance to cover any costs associated with having to cancel a holiday.
Date changes are not possible in Roundstone properties.
Method of Payment:
Fernwood uses Stripe secure online payment systems to process credit & debit card details.
We are ‘Payment Card Industry’ (PCI) compliant. This is to allow us to either pre-authorise or take a payment for the mandatory security deposit depending on the card provided.
We ensure the protection of our guests’ card details by complying with the regulations concerning the processing & retention of card details by banks and the GDPR data retention regulations.
We can also facilitate a bank transfer; please email us directly and we will provide you with our bank details.
Cancellation by Customer:
In the event that you wish to cancel your reservation, the following charges will apply:
Roundstone Quay Properties:
Less than 60 days before arrival date: 100% of the total booking value is non-refundable. Your deposit is fully refundable up to 60 days prior to arrival.
The Treehouse Dome, The Studio & The Stilt House:
Less than 28 days before arrival date: 100% of the total booking value is non-refundable.
Greater than or equal to 28 days before arrival date: 20% of the total booking value is non-refundable
We strongly advise that clients take out travel insurance to cover any costs associated with having to cancel a holiday.

Roundstone Quay Properties Cleaning
When a rental at Roundstone Quay House is for longer than one week, cleaning of the house during the rental must be requested a week in advance and a fee may apply.
Arrival & Departure Time:
Check-in time is 3pm and Check-out time is 11am (10am and 4pm for Roundstone Quay Properties).
Right to Decline:
Fernwood reserves the right to refuse, alter or cancel a booking, even after receipt of final payment.
Fernwood reserves the right to terminate this contract if the behaviour or conduct of the consumer either prior to or during a holiday is likely to endanger the safety or well-being of other consumers in the party or that of the consumer himself.
For insurance reasons, the total number of clients staying in each unit must not exceed the maximum capacity.
Pet Friendly Holiday Home:
Please note dogs are only accepted at Roundstone Quay House and Cottage by prior arrangement and your dog will not be accepted without prior confirmation. Dog(s) must be stated when you initially book your property so it can be noted on your booking.
As we are a working farm, no pets are allowed at The Treehouse Dome, The Studio and The Stilt House.
Fernwood Eco Ltd (t/a Fernwood), his employees or agents shall not be liable for any damages, loss, or personal injury which may be sustained by persons or property at any time during the reserved stay.
In the unlikely event of a complaint, it should be brought to the attention of Fernwood or its agents immediately. Failure to register a complaint while at the property may invalidate a future claim. Failing a satisfactory solution, you should contact Fernwood and a written complaint should be logged within 14 days of departure.
Default by the Customer:
The consumer is obliged to ensure that all documentation and details issued to you by Fernwood is correct. In an unlikely event that you do not agree with the documentation, it must be brought to our attention immediately.
Bed Linen & Towels:
Sufficient bed linen and towels are supplied free of charge
Cots & Highchairs:
A cot and highchair are available at Roundstone Quay House, but must be booked in advance. Cot linen is not provided.
It shall be the consumer’s responsibility to disclose, prior to booking, to Fernwood any physical or mental condition of a member of his party which may be relevant. Fernwood reserves the right to decline or provide a holiday for a disabled person where in our mind; the accommodation would be inconsistent with the special needs of a disabled person.
Fernwood does not accept bookings from groups of parties under the age of 20, or hen/stag parties unless otherwise agreed in writing.
We reserve the right to refuse to check-in such groups and will not refund any monies paid in advance in the event of non-disclosure of the age of the occupants.
For group bookings, the refundable mandatory security deposit must be paid prior to arrival. This will be refunded within 7 days of departure once we have confirmed that the house was left in an acceptable condition.
No guest under the age of 20 can book with Fernwood. Guests under the age of 20 must be accompanied by at least one person over 20 years of age.
In the event your booking was made on our website (www.fernwood.eco) please note the email you receive on booking is not a final booking invoice. We reserve the right to decline such bookings up until we issue a receipt of full payment.
